Wait until February 1
Employers are required to furnish W-2s by January 31. Before that date nothing is wrong and there is nobody useful to contact. Allow a further two weeks if yours comes by post — the deadline is for sending, not for arrival.
Check the address your employer has on file
This is the commonest reason a KFC W-2 never turns up. A form posted to an address you left months ago comes back to the employer, who then has it sitting in an office you no longer visit. Ask them to confirm the address before assuming it was never sent.
Ask your employer for a reissue
They can produce a reissued statement. They are allowed to charge a fee for it, which is legal and normal. Ask the payroll contact rather than the portal helpdesk — the helpdesk usually cannot act without your employer's authorisation.
After February 14, call the IRS on 800-829-1040
Have ready: your name, address, phone number, Social Security number and dates of employment, plus your employer's name, address and phone number, and an estimate of wages and federal tax withheld taken from your final pay stub. The IRS will write to your employer requesting the form within 10 days, and will send you Form 4852.
File on time regardless
A missing W-2 is not an extension. If the form has not arrived by the filing deadline, attach Form 4852 — the IRS substitute — using figures estimated from your final pay stub. Attach it to the back of your Form 1040. Expect the refund to take longer while the IRS verifies the figures.
Amend if the real one turns up different
If the genuine W-2 arrives afterwards and the numbers differ from your estimates, file Form 1040-X to correct the return. This is routine and is the intended path, not a penalty.

The IRS side of this is fixed and applies identically to every employer in the country. The KFC side is where it gets complicated, because which system holds your form depends on who owned your restaurant.

Your final pay stub for the year names the employer, and that is the entity that owes you the W-2. If you worked at two KFC locations under different owners, you have two employers and two separate W-2s — chasing one will never produce the other, and the IRS process has to be run separately for each.

The IRS process is identical everywhere. Only where the form lives, and how long you can reach it, differ.
Wendy's is the most predictable of the three, with roughly 90 days of access after you leave. McDonald's is the least, since many franchise systems cut access the day you resign. KFC sits in between and depends entirely on which of three systems your operator chose.

Why KFC can't answer this centrally
KFC is franchised almost end to end, and the franchisee — not KFC and not Yum! Brands — is the legal employer of everyone in the restaurant. That is the entity whose name appears on your W-2, and the entity the IRS will write to if it never arrives.
It also explains why calling a corporate number gets you nowhere. Yum! Brands has no access to a franchisee's payroll records and cannot produce your form. The people who can are your general manager and your operator's payroll contact, and after February 14, the Internal Revenue Service. That is the entire list.
