ADP W-2 — Former Employees Can Register Too

Leaving a job that used ADP does not lock you out of your W-2: former employees can register with ADP directly, using a registration code from the former employer. That is more than most payroll systems allow. But the same rule governs everything here — ADP states it cannot provide the code and is not authorised to reset your access. The employer remains the only source of an ADP W-2.

How to get it

  1. If you still work there, look in my.adp.com

    Tax statements sit alongside pay statements. Switching on paperless delivery makes the form available as soon as it is issued rather than waiting for post.

  2. If you've left, ask for a registration code anyway

    The part people do not realise. Former employees can register with ADP directly, which many payroll systems do not permit. Ask the former employer's payroll contact for the code — ADP cannot supply it.

  3. Errors go to your employer, never to ADP

    If the name, Social Security number or figures are wrong, ADP cannot correct them. Only your employer can issue a W-2c. It holds the data; your employer controls it.

  4. Wait for the deadline before chasing

    Employers must furnish W-2s by January 31 — Monday February 1, 2027 for the 2026 tax year, because the 31st is a Sunday. Before that date nothing has gone wrong. Allow a further 2 weeks if yours comes by post; the deadline is for sending, not arrival.

  5. Then call the IRS, on whichever date you trust

    The end of February, and not before. The IRS asks you to chase the employer first, then call 800-829-1040 if nothing has arrived. Have your details, the employer's, and wages and withholding from your final pay stub. The Internal Revenue Service contacts the employer for you and requests the form, then sends Form 4852 so you can still file. Form 1040-X amends afterwards.

Ask your former employer's payroll contact for the registration code in December rather than late January. Requesting it early costs nothing and skips the queue.

The IRS process is identical everywhere; only where the form lives differs.

ADP and Walmart both give former employees a self-service route; Kroger does not. ADP's depends on a code from a former employer, so it is more fragile than a published one.

The one door ADP leaves open, and the one it cannot

Being a vendor to thousands of employers rather than an employer itself shapes every ADP answer here, and it pulls in two opposite directions.

The generous direction first. Most payroll systems close the door at termination, and Kroger disables access outright. That is not the ADP pattern. A former employee can register directly and pull a W-2 years later, which is unusual and costs one short conversation to arrange.

The restrictive direction is the same fact from the other side. Holding your data is not the same as having authority over it. Checked 19 August 2026, its support pages state that only your employer can give you online payroll access, that ADP cannot provide you with a registration code, and that for your protection ADP is not authorized to reset your portal access. Every one is a limit ADP publishes about itself.

So the open door has a lock, and your former employer holds the key. That produces the one piece of timing advice on this page that has nothing to do with ADP's systems: if you left during the year and know you will need a W-2, ask for the registration code in December. Payroll teams are busiest in the last week of January, exactly when every former employee contacts them at once.
